Why Compare Last Month's and This Month's Files

A significant portion of recurring monthly work involves confirming "what changed compared to last month." Here are the most common scenarios.

Month-end reconciliation: Comparing revenue reports, expense statements, and income statements with the previous month to verify numerical changes. Unusually large variations need investigation.

Inventory review: Comparing end-of-month inventory with the previous month to track stock changes. If inventory dropped or increased more than expected, procurement and sales plans need adjustment.

Price list updates: Identifying which items changed in monthly updates to raw material prices, product retail prices, and vendor supply costs.

HR and payroll: Reviewing headcount changes (new hires, departures), salary modifications, and allowance changes compared to the previous month.

Doing these comparisons manually takes a long time and carries high error risk. DiffMate automatically finds and color-codes the differences between two files.

Here's a hypothetical example comparing an online store's September and October product performance data.

The 43.8% drop in S002 sales is an outlier that requires immediate investigation.

Step-by-Step Comparison in DiffMate

Step 1 — Prepare Files Prepare last month's report (September) and this month's report (October) as Excel (.xlsx) or CSV (.csv) files. Verify that the column structure (headers) is identical.

Step 2 — Select Files in DiffMate Go to diffmate.work and select last month's file as File A and this month's file as File B.

Step 3 — Run Comparison Click the "Compare" button. The comparison runs directly in your browser — no files are uploaded to any server.

Step 4 — Check Comparison Summary After comparison, click "Generate Summary" to see the overall change overview. Check added, deleted, and modified row counts, change rate, and top 10 most-changed columns.

Step 5 — Review Detailed Results In the side-by-side view, examine each row's changes in detail. Color coding makes it intuitive to understand.

Identifying Large Changes and Outliers

DiffMate's comparison summary provides column-level change analysis.

Change direction: Shows whether values in a specific column all increased, all decreased, or had mixed changes.

Change statistics: Provides sum, average, minimum, and maximum change amounts to help understand the overall scale of variation.

Outlier detection: Automatically detects and highlights items with 20%+ variation. In the example above, the -43.8% drop in S002 sales would be flagged as an outlier.

Outlier items could be simple data entry errors or actual business changes. Either way, they require verification.

Reviewing Row Additions, Deletions, and Column Structure Changes

DiffMate also detects structural changes commonly found in monthly comparisons.

Row additions and deletions: Newly added products (green) and deleted products (red) are visible at a glance. Quickly identify new product launches, discontinuations, or vendor changes.

Column structure changes: If this month's report has new columns added, or existing columns removed or renamed, the comparison summary shows these changes. For example, if a "Discount Rate" column was newly added, it's highlighted separately.

Which Changes Require Human Review

Reviewing every single change is inefficient. Prioritize using these criteria.

Must review: - Outliers (20%+ change): Could be data entry errors or significant business changes - Row deletions: Confirm whether intentional or data omission - Price/cost changes: May include unauthorized price modifications

Should review: - Row additions: Verify new items are correctly registered - Minor changes (under 5%): Confirm within normal variation range

Reference only: - Unchanged rows: No issues

Downloading Results

After reviewing comparison results, accept or reject changes as needed, then click "Save File" to download the modified result in CSV/TXT format. Use the modified file as this month's finalized data or keep it as a separate verification record.

Limitations and Considerations

  • Column structure alignment: Both files must have identical column structures (headers) for accurate comparison. If columns were added, removed, or renamed, standardize them before comparing.
  • Sort order: If the two files have different sort orders, all rows may show as "changed." Sort by the same column before comparing.
  • No formatting comparison: Cell colors, fonts, and conditional formatting are not compared. Only cell values are compared.
  • Download format: Results are saved as CSV/TXT. Saving in original Excel format (.xlsx) is not yet supported.
